Legal Transactional Secretary / Executive Assistant

Our client is seeking a highly organized and detail-oriented Legal Transactional Secretary / Executive Assistant to support thier Transactional Practice Group. This role provides critical administrative, document management, calendaring, and project support to attorneys and project coordinators throughout all stages of transactional matters. The ideal candidate thrives in a fast-paced, deadline-driven environment and excels at managing multiple priorities while maintaining accuracy and confidentiality.

Key Responsibilities

  • Open new matters and maintain client files and records.
  • Prepare, process, and organize legal and transactional documents, including engagement letters, conflict letters, and closing materials.
  • Manage document storage and filing systems, including iManage and electronic closing folders.
  • Coordinate electronic signatures, document comparisons, and organizational records retrieval.
  • Support transaction closings by assembling signature packets, maintaining closing documents, and preparing closing books.
  • Schedule meetings, manage calendars, coordinate travel, and track important deadlines.
  • Assist with attorney compliance tracking, pipeline reporting, expense submissions, and administrative projects.
  • Support firm events and special projects as needed.

Qualifications

  • 3+ years of legal administrative experience, preferably in a transactional, non-profit, or business law environment.
  • Strong proficiency with Microsoft Office Suite, particularly Word, Outlook, and Excel.
  • Experience with document management systems, preferably iManage.
  • Excellent written and verbal communication skills.
  • Exceptional organizational skills, attention to detail, and ability to manage competing priorities.
  • Professionalism, discretion, and commitment to confidentiality.
